Thank You Letter for Participation: 20 Examples

5 November 2026 · 7 min read

A thank-you letter for participation should name the event or activity, thank the person for taking part, mention one specific contribution or outcome, and, where relevant, share what happens next (results, photos, a survey or the next event). Send it within a few days while the experience is fresh. A short, specific note makes people far more likely to say yes next time.

Whether you organised a conference, a charity run, a research study or a team workshop, the 20 examples below cover the most common situations.

Why participation thank-yous matter

People who give their time, attention or effort to your event usually get nothing tangible in return. A thank-you closes that loop. It also:

Generic "thanks for coming" messages do some of this. Specific ones do all of it.

What to include

  1. The event and date. People attend many things; remind them which one.
  2. Thanks for their specific role. Speaker, volunteer, panelist, attendee, survey respondent.
  3. A concrete detail or result. Money raised, questions answered, a moment people enjoyed.
  4. Next steps. Links to slides, a feedback survey, a save-the-date, or nothing at all.
  5. A warm close.

Group vs individual messages

For large audiences, a well-written group email is fine. For speakers, sponsors, key volunteers and anyone who did significant work, send an individual note. Even two personal sentences beat a mass message.

If you're writing a newsletter-style thank-you to a big list, an email newsletter generator can help with layout and structure; then add the real details from the day.

Events and conferences

1. Conference attendees (group email)

Subject: Thank you for joining us at Future of Retail 2026

Hi everyone,

Thank you for being part of Future of Retail last Thursday. The room was full for every session, and the questions during the panel on local supply chains kept the conversation going well into the break.

Slides and recordings are now available on the event page, and we'd be grateful if you could take two minutes to complete our feedback survey. We hope to see you next year.

The organising team

2. Conference speaker

Dear Dr. Haddad,

Thank you for your keynote at Future of Retail. Your talk on pricing psychology was the most discussed session of the day, and several attendees asked whether you'd return next year. We're very grateful for the time you put into preparing it.

3. Panel participant

Hi Jonah, thank you for joining Tuesday's panel. You brought a practical, honest perspective that the audience clearly appreciated, especially your story about the failed product launch. It made for a much better discussion.

4. Workshop attendees

Thank you for taking part in Saturday's watercolour workshop. It was lovely to see so many first-time painters leave with finished pieces. Our next session is on 14 December, and you'll find a short practice exercise attached if you'd like to keep going in the meantime.

5. Webinar attendees

Thank you for attending yesterday's webinar on small business tax planning. We had more questions than time, so we've answered the rest in a short follow-up guide linked below, along with the recording.

Volunteers and community

6. Event volunteers

Dear volunteers,

Thank you for giving up your Sunday for the Riverside Clean-up. Together you cleared litter from almost two miles of riverbank, and residents have already been in touch to say how different it looks. We couldn't run these days without you.

7. Charity run participants

Thank you for running in the Hope 10K on Saturday. Whether you raced for a personal best or walked the whole route with friends, you helped raise funds for the children's ward. We'll share the final total once all donations are in.

8. Fundraiser participants

Thank you for taking part in our bake sale. Every cake sold went toward the new library books, and the school community really showed up. The children are already asking when the next one will be.

9. Community meeting attendees

Thank you for coming to last week's neighbourhood meeting on the park redevelopment. Your comments have been recorded and will go to the council planning team. We'll share their response as soon as we have it.

10. Blood drive donors

Thank you for donating at our office blood drive. Giving blood takes time and a little courage, and we were proud to see so many colleagues sign up. Please look after yourselves today and drink plenty of water.

Work and teams

11. Team workshop or offsite

Hi all,

Thank you for your energy at Thursday's strategy offsite. We left with three clear priorities for next year and a lot of good ideas that we'll keep on the backlog. I'll circulate the notes by Monday.

12. Brainstorming session

Thanks for jumping into this morning's brainstorm at short notice. We collected over forty ideas, and two of them are already being scoped. I appreciate how open everyone was.

13. Training session participants

Thank you for attending the new CRM training. I know taking a full afternoon away from your desks isn't easy. The quick-reference sheet is attached, and please send me any questions as you start using the system.

14. Employee survey respondents

Thank you to everyone who completed the staff engagement survey. Your honest feedback gives the leadership team a clear picture of what's working and what isn't. We'll share the results and our action plan at the next all-hands meeting.

Research, schools and competitions

15. Research study participants

Dear participant,

Thank you for taking part in our study on sleep and memory. Your time and willingness to complete the follow-up sessions are essential to this research. If you'd like a summary of the findings when the study is complete, reply to this email and we'll add you to the list.

16. Focus group

Thank you for joining our focus group on Wednesday. Your comments on the onboarding screens were especially helpful, and the design team is already working on changes based on what you said. Your voucher should arrive within five working days.

17. Parents who helped at a school event

Dear parents,

Thank you to everyone who helped at sports day, from setting up the track to running the refreshments stand. The children had a fantastic time, and it simply wouldn't have happened without you.

18. Competition entrants

Thank you for entering the Young Photographer Competition. We received a wonderful range of entries, and the judges found it hard to choose. Results will be announced on 30 November, and all entrants are invited to the exhibition opening.

19. Students in a debate or event

Dear debaters,

Thank you for taking part in this year's inter-school debate. Every team showed careful preparation and real respect for the opposing side. Whatever the result, you should be proud of the way you represented your schools.

20. Personal note to a participant who went above and beyond

Hi Mei, I wanted to thank you personally for everything you did at the fair. You stepped in when the face-painting volunteer cancelled and ended up with a queue all afternoon. It made the day for a lot of children, and for me.

Writing tips

FAQ

When should I send a thank-you for participation?

Within a few days of the event. For multi-day programmes or studies, send it once participation ends, and consider a short mid-way note for longer commitments.

Should I include survey links in a thank-you email?

Yes, if you need feedback, but keep it to one link and say how long it takes. Lead with the thanks, not the request.

Is a group email enough?

For general attendees, yes. Speakers, sponsors, key volunteers and anyone who did significant work should get a personal note.

What if the event went badly?

Still thank people for coming. Acknowledge any issue briefly and honestly ("We know the sound cut out during the second session; the recording is now available") and focus on what you'll improve.
