Thank You Resignation Letter: 20 Examples to Leave Well
A thank-you resignation letter formally resigns from your job while expressing appreciation for the experience. It states that you're resigning, names your role and your last working day, thanks your manager or employer for specific things, offers to help with the handover, and ends on a warm, forward-looking note. The gratitude section should be sincere and concrete: a project, a skill, a person who helped you.
Many people also send a separate thank-you note to colleagues on their last day. This article covers both, with 20 examples.
Why thank people when you resign
Leaving well matters. Your former manager may be a future reference, a future colleague or even a future client. A gracious resignation:
- Leaves a positive final impression in your personnel file
- Makes reference requests easier for everyone
- Keeps doors open for rehire or collaboration
- Recognises the people who genuinely helped your career
Gratitude doesn't need to be effusive. One or two specific sentences are better than a paragraph of general praise.
What to include in a thank-you resignation letter
- Clear resignation statement with your job title.
- Last working day, in line with your notice period.
- Specific thanks: opportunities, mentoring, skills, team culture.
- Handover offer: documentation, training a replacement, finishing projects.
- Warm close and, if you like, contact details for staying in touch.
Leave out complaints, comparisons with your new job and detailed reasons for leaving.
Tips
- Tell your manager in person first, then send the letter.
- Be specific with your thanks. "Thanks for everything" is pleasant; "Thank you for trusting me to lead the Leeds launch" is memorable.
- Keep it to one page.
- Proofread it. A grammar checker catches errors before the letter goes into your file.
- If emotions are running high, write the draft, wait a day, and reread it. A tone changer can also help you see a calmer version of a sentence that sounds tense.

FAQ
Should a resignation letter include a thank-you?
It's not required, but a short, sincere thank-you is a good idea. It leaves a positive record and costs you nothing.
Can I thank my employer if I didn't enjoy the job?
Yes. Thank them for something true, such as the experience, a skill you gained or a colleague who helped. Keep it brief and honest.
Is a farewell email to the team appropriate?
Yes, on your last day or close to it. Keep it short and positive, and include contact details if you want to stay in touch.
Should I send the thank-you note separately from the resignation letter?
You can do either. The formal letter can include a line of thanks, and a more personal note to your manager or team can follow on your last day.
