Thank You Note Examples for Every Occasion (30 Samples)
A good thank you note is short, specific and sincere. Name the person, mention exactly what they did or gave, say how it affected you, and close warmly. Three to five sentences is plenty for most notes. Below you will find a simple formula and 30 thank you note examples you can adapt for gifts, work, school, weddings, sympathy and everyday kindness.
The simple formula
- Greeting: "Dear Maya," or "Hi Tom,"
- Thank them for something specific: "Thank you for the cast-iron pan."
- Say why it mattered: "I've already used it for Sunday pancakes, and they've never been better."
- Look forward or add a personal line: "Come over soon and I'll make you a batch."
- Close: "With love," "Warmly," "Thanks again," followed by your name.
The specific detail in step 3 is what separates a real note from a form letter. "Thanks for the gift" could be sent to anyone. "The blue scarf goes with every coat I own" could only be sent to one person.

Tips for writing your own
- Send it promptly. Within a week or two is ideal, though a late note is still better than none.
- Handwrite when it is personal. Email is fine for work and interviews, and fast is better for interview notes.
- Keep it short. A thank you note is not a letter. A few warm sentences are enough.
- Skip "I just wanted to say." Start with the thanks.
- Check names and spelling. A misspelled name undoes a lot of warmth.
If you are writing many notes at once, for example after a wedding, and the wording starts to feel repetitive, a rewording tool can suggest variations. Keep the specific detail in each one personal. For work notes sent by email, a quick pass through the grammar checker catches typos before you hit send.
FAQ
How long should a thank you note be?
Three to five sentences is right for most notes. Long enough to be specific, short enough to be read in a few seconds.
Is it OK to send a thank you note by email?
Yes, especially for job interviews, work favors and quick thanks. Handwritten notes still feel more personal for gifts, weddings and sympathy.
How soon should I send a thank you note after an interview?
Ideally within a day. A prompt email shows interest and keeps you fresh in the interviewer's mind.
What do I say if I didn't like the gift?
Thank the person for their thoughtfulness and effort, and mention something genuinely positive, such as the fact that they remembered or took time to send it. There's no need to comment on the gift itself in detail.
