20 Thank You for Your Inquiry Email Templates + Tips
A good "thank you for your inquiry" email does three things quickly: it thanks the person, answers or acknowledges their question, and tells them exactly what happens next. Keep it short, personal and specific. The 20 templates below cover the situations businesses and freelancers meet most often. Swap the bracketed parts for your own details and adjust the tone to your brand.
What every inquiry reply needs
Before the templates, the essentials:
- A prompt reply. Even if you cannot answer fully yet, acknowledge the message the same day if you can.
- Their name and their question. Show you read what they wrote.
- A real answer or a clear timeline. "We will get back to you soon" is weaker than "You will hear from Priya by Thursday."
- One next step. Book a call, reply with details, visit a page. Not five options.
- A name at the end. People respond better to a person than to "The Team".
A clear subject line helps your reply get opened. Something like "Re: Your question about wedding catering for June 14" works better than a generic "Thank you". If you need ideas, an email subject line generator can give you options to choose from.

Writing tips for better inquiry replies
- Reply in the customer's language level. If they wrote two casual lines, do not send a formal letter. A tone changer can help you adjust a draft quickly.
- Answer the actual question first. Put the answer in the first two lines, then add detail.
- Use templates as a base, not a script. Add one sentence that refers to something specific they said.
- Keep links few. One link to the next step is better than a list.
- Check names, dates and prices before sending. A wrong date undoes all the goodwill.
- Draft faster when you are busy. An AI email responder can turn the inquiry and a few notes into a first draft. Read and edit it before you hit send.
FAQ
How quickly should I reply to an inquiry?
As soon as you reasonably can, ideally the same working day. If a full answer will take longer, send a short acknowledgment with a timeline.
Should I use "inquiry" or "enquiry"?
Both are correct. "Inquiry" is standard in American English. In British English "enquiry" is common for general questions. Pick one and use it consistently.
What if I cannot answer the question at all?
Thank them, say honestly that it is not something you offer, and point them toward the kind of provider who can help if you know one.
Is an automatic reply enough?
An auto-reply is fine to confirm receipt, but follow up with a personal reply. Customers notice when no human ever responds.
